Privacy Policy — Georgia Tech CSA App

This app is operated by the Georgia Tech Chinese Student Association ("CSA," "we," "us") for use by our members and the broader Georgia Tech community. This policy explains what information the app collects, how it's used, and your choices.

Information We Collect

Account information. If you create an account, we collect your email address and a display name (which you choose and can change at any time).

Class year. We ask which year you're in (1st, 2nd, 3rd, 4th, or 4th+/graduate) — either right after you create an account, or the first time you check in to an event if you made your account before we started asking. This is used for event planning and attendance statistics (see "Event check-in" below); it's optional in the sense that you can decline to provide it and simply not use event check-in.

Membership information. If you request club membership, we store your membership status (pending/member), the term you were approved for (semester or full year), and your role within the club (member, moderator, or admin, for club officers).

Event check-in. If an event has check-in enabled, checking in stores your name, class year, and a timestamp against that event's record. Club officers use this to see headcount and class-year turnout per event, both individually and in aggregate. This creates a record of which events you've personally checked in to.

Feedback you submit. If you submit feedback or a bug report through the app, we store the message along with your name and email so club officers can respond or follow up if needed.

Push notification token. If you allow notifications, we store a device token (provided by Apple/Google's push notification services) used to send you club announcements and event reminders. This token doesn't identify you personally on its own.

App activity. We store which in-app notifications you've read or dismissed, so that state stays consistent if you use the app on multiple devices.

Content you create. If you're a club officer (moderator/admin), any posts, event listings, sponsor listings, or images you create through the app are stored and may be publicly visible to other users, since that's the purpose of that content.

Photos. If you're a club officer uploading an image (for an event, sponsor, or the home page), that image is uploaded to our cloud storage provider. We don't access your photo library beyond the specific image you choose to upload.

What We Don't Collect

We do not collect your location, contacts, or browsing activity outside the app. We do not use advertising or analytics SDKs, and we do not sell or share your information with third parties for marketing purposes.

How We Use Your Information

Who Can See Your Information

Basic profile information (display name, email, role, membership status, class year) is visible to other signed-in users of the app, and to club officers who manage membership. Members-only content is intended to be visible only to approved members, though this is enforced by the app rather than the underlying database.

Event check-in records (your name, class year, and check-in time) are stored on the event itself; club officers can view individual attendee records and aggregate statistics through the club's management tools. Feedback you submit is visible only to club officers.

Third-Party Services

The app is built on Firebase (a Google Cloud service), which provides our account system, database, file storage, and handles push notification delivery in partnership with Apple and Google's own push notification services. These providers process data on our behalf and maintain their own security and privacy practices. We do not control, and are not responsible for, the privacy practices of these providers beyond our use of them.

Data Retention and Deletion

You can delete your account at any time from within the app (Profile → Delete account), which permanently removes your account and profile information. This cannot be undone. Content created by club officers as part of official club records (e.g. past event listings) may be retained as club history even after that individual's account is removed — this also includes your name on any event check-in records and any feedback you've submitted, which remain as part of those records rather than being deleted along with your account. Contact us if you'd like these removed separately.

Children's Privacy

This app is intended for college students and is not directed at children under 13. We do not knowingly collect information from children under 13.

Changes to This Policy

We may update this policy from time to time. Continued use of the app after changes are posted constitutes acceptance of the updated policy.
